System Basics & Navigation

The Eklonde Prime Retail OS (EPROS) is designed with strict security, offline capabilities, and role-based access. This guide covers logging in, navigating the workspace, and understanding your assigned permissions.

Accessing the Retail OS​

Your shop operates on a secure, dedicated Eklonde Prime subdomain.

  1. Login Credentials: Enter your assigned Business Email and Secure Password.
  2. Password Recovery: If you lose access, click Recover Access? and submit your registered email to receive a secure password reset link.
  3. Maintenance Mode: During scheduled system updates, standard logins are temporarily disabled. The login screen will display an update progress bar and an ETA. Only Super Admins can bypass this lock.
  4. Account Locks: If your workspace is deactivated due to offboarding, the login screen will display a lock notice. You must contact Eklonde Prime Support to restore access.

Once authenticated, your workspace is divided into two primary navigation areas: the left sidebar and the top header.

The Left Sidebar​

Your daily tools are categorized into operational groups:

  • Trading: Access the Dashboard, POS Terminal, and Shifts & Z-Reports.
  • Stock: Manage Inventory & Loss, and Purchasing & Landed Costs.
  • Money: Access The Book (Debtors), Accounting & E-VAT, and Payroll & HR.
  • System: Check Inbox & Notices, and configure Settings & Gateways.
  • Note: The sidebar also displays a live "Today at the till" total, which is hidden from Cashiers to maintain financial privacy.

The Top Header & Status Bar​

The sticky header contains your real-time operational controls:

  • Connection Toggle (Dumsor Mode): Manually switch between Online and Offline modes. When internet is lost or Dumsor mode is active, sales queue locally in your browser. When connection restores, a spinning sync indicator displays the number of queued receipts pushing to the server.
  • Notification Bell: Displays unread system alerts, global broadcasts, and compliance memos.
  • Theme Toggle: Switch between light mode (Sun) and dark mode (Moon).
  • Profile & Secure Log Out: Click your name to view your role or log out. Crucial: The system will block you from logging out if you have an open shift. You must declare your cash and close your shift before the system allows you to exit.

Dynamic System Banners​

The header actively displays urgent alerts that require your attention:

  • Subscription Status: Warnings will appear leading up to your billing date. If the grace period expires, the system drops into a Read-Only Lockout state, preventing new sales.
  • Mandatory Compliance: Urgent system notices may trigger a countdown timer. Owners and Managers must acknowledge these notices in the Inbox, or the system will lock until compliance is met.

Role-Based Access Control (RBAC)​

EPROS operates on a strict permission matrix. You will only see sidebar menus and buttons authorized for your specific tier.

  • Owner: Full system control. Can execute payroll, change pricing, configure tax/API gateways, and access all financial ledgers.
  • Manager: Broad operational access. Can receive stock, record expenses, issue advances, and adjust inventory shrinkage. Cannot run final payroll or edit core system settings.
  • Cashier: Restricted strictly to trading. Can ring up sales, open/close their specific shift, view product availability, and collect customer debt. Cannot adjust inventory quantities or view store profitability.
  • Auditor: Strictly read-only access for oversight. Can view accounting, ledgers, and inventory data, and has specific permission to conduct blind physical stock counts without altering settings.
