The Point of Sale (POS) Terminal

The Eklonde Prime Retail OS (EPROS) Point of Sale interface is optimized for high-speed checkout, split payments, and uninterrupted offline queuing.

Prerequisites: Active Shift​

You cannot process transactions without an active till. Before ringing up your first customer, ensure you have an open shift. The system will disable the checkout button and display a warning if a shift is not open.

System Hotkeys​

For maximum efficiency, use these global keyboard shortcuts:

  • F2: Focus the search / barcode scanner bar.
  • F4: Open the payment modal.
  • F8: Clear all items from the current basket.
  • F9: Toggle the active pricing tier between Retail and Wholesale.
  • Enter: Instantly add a scanned or searched item.

Processing a Standard Sale​

  1. Find Products:
    • Barcode Scanner: Press F2, scan the item, and press Enter. The system will automatically drop it into the cart.
    • Manual Search & Pagination: Type the product name or SKU. The product grid automatically paginates (8 items per page) to maintain terminal speed. You can also filter by category using the dropdown.
  2. Select Units & Quantities: Click the desired unit of measurement (e.g., Single vs. Box) on the product card. Adjust quantities in the cart using the + / - buttons or by typing the exact number. Note: Out-of-stock items will show a red warning if added to the cart.
  3. Apply Discounts (Optional): If your role has the permission, enter a flat GHS discount amount in the field below the basket.
  4. Attach Customer: Select a customer from the dropdown below the basket. This is required if the customer is paying via Store Credit.

Taking Payment (F4)​

Press F4 or click Charge to open the payment modal. EPROS supports splitting a single receipt across multiple payment methods (e.g., partly in Cash, partly on Card). Click Add payment line to divide the total.

  • Cash: Use the Quick Cash preset buttons (Exact, 50, 100, 200, 500) to instantly calculate the required change.
  • Mobile Money (MoMo) & Card: Selecting digital methods triggers the integrated Paystack gateway. A secure popup will appear, and the receipt will only clear once Paystack confirms the capture.
  • Credit / The Book: The system checks the attached customer's outstanding balance against their configured limit. If the transaction exceeds their limit, the sale is blocked unless your role (e.g., Manager/Owner) has permission to override it.

Dumsor Mode (Offline Operations)​

Your terminal is built with offline-first synchronization. If your shop's internet connection drops, you do not need to stop selling.

  • Connection Toggle: You can manually toggle Dumsor Mode using the Wi-Fi icon in the top header, or let the system automatically detect the drop.
  • Processing Sales: Continue scanning items and processing Cash or Store Credit payments. (MoMo and Card gateways require an active connection).
  • Reconnection: The system stores all ledgers locally in your browser. When the network returns, the spinning sync indicator in the header will automatically push your queued receipts to the cloud server.

Handling Returns & Refunds​

Refunds must be processed against the original receipt to maintain accurate inventory and financial ledgers.

  1. Locate the Transaction: Navigate to the Sales History tab and scan the barcode on the customer's receipt, or search by the transaction ID.
  2. Initiate Return: Select the specific items being returned and click Refund.
  3. Verify Item Condition: Ensure the physical item is returned to your counter. The system will automatically add the quantity back into your active stock.
  4. Issue Payment: Select the original payment method and hand the GHS amount back to the customer. Print the refund confirmation receipt.

End-of-Shift Register Closure​

At the end of your shift, you must reconcile your physical cash drawer with the system's recorded sales.

  1. Open the Register Audit: Navigate to Shifts & Z-Report or click on your profile name and select Close Register.
  2. Count the Drawer: Count all physical cash in your till.
  3. Enter the Total: Input the total physical GHS amount into the system prompt.
  4. Submit: If your physical count matches the system's expected total, the register will close perfectly. If there is a discrepancy (overage or shortage), you will be required to leave an explanatory note before the system logs you out.
